Privacy Policy
This policy describes how Polite in Public, Inc. ("Polite," "we," "us," or "our") handles information through our websites, event-media platform, capture applications, kiosks, sharing stations, galleries, and related services (collectively, the "Services").
An event organizer, agency, venue, sponsor, or other customer (the "Event Host") may configure an experience and decide what information is requested from guests. Depending on the project, Polite may handle that information on the Event Host's behalf. Event-specific notices, releases, and the Event Host's privacy policy may also apply.
1. Information We Handle
The information involved depends on the Service and the Event Host's configuration. It may include:
- Event media: Photos, videos, audio recordings when enabled, image sequences commonly described as GIFs, generated media, thumbnails, and related processing files.
- Delivery information: An email address or mobile number a guest provides to receive media.
- Guest-form information: A name, survey response, release, marketing choice, or other project-specific field requested by the Event Host.
- Operational information: Project, setup, device, session, guest, media, and request identifiers; timestamps; delivery status; consent or notice version information when supported; and limited diagnostic or security logs.
- Website and account information: Account and business contact information, support communications, authentication sessions, and browser or device information needed to operate and secure the Services.
2. Face Effects and Generative AI
Some experiences analyze a face's position, landmarks, or geometry to align a visual effect. Standard face-effect functionality is not intended to identify guests or create a reusable face-recognition profile.
Some generative-AI experiences send a guest image, an authored prompt, and configured reference imagery to an external AI service selected for that project. The provider can process the submitted content while creating the result. Availability, processing location, and provider retention practices depend on the service used for the event. When an experience uses external AI, the event notice should identify or describe that processing before the guest participates.
3. How We Use Information
We may use information to:
- capture, process, display, print, and deliver requested event media;
- operate galleries, sharing tools, pre-registration, and guest-request workflows configured for an event;
- maintain queues, recover interrupted work, troubleshoot failures, prevent misuse, and secure the Services;
- provide support, administer customer accounts, and improve the Services;
- record and honor a guest's choices, including releases or marketing choices presented for a particular event; and
- comply with legal obligations and respond to valid legal requests.
Providing an email address or mobile number for media delivery does not by itself enroll a guest in marketing. Marketing use requires a separate choice or another lawful basis identified by the party responsible for that marketing. Transactional delivery can involve more than one message when a guest requests multiple items or when a delivery must be retried.
4. How Information Is Disclosed
Information may be available to or processed by:
- The Event Host and its authorized team: The Event Host may receive event media, guest-form responses, consent records, delivery information, or reporting according to the project configuration and agreement.
- Service providers: We use providers that support hosting, storage, email, SMS, media delivery, security, and, when configured, generative-AI processing. They receive information needed to perform the applicable service.
- Legal and safety recipients: We may disclose information when reasonably necessary to comply with law, protect people or the Services, investigate misuse, or establish or defend legal claims.
- A business successor: Information may transfer as part of a merger, financing, acquisition, restructuring, or sale of relevant business assets, subject to applicable law.
Polite does not sell guest contact information or event media to third-party advertising networks. An Event Host's independent use of information is governed by its own notices, choices, and legal obligations.
5. Retention and Deletion
Retention varies by event, agreement, data type, system, and operational need. Some local delivery-request records are routinely removed after a short recovery window. Event media, cloud guest records, project-form responses, archives, operational records, and copies held by service providers can follow different schedules.
Polite is not a permanent archival service unless an agreement expressly says otherwise. An Event Host should download any deliverables it is responsible for retaining. A quoted event-media availability period describes the intended access window; it should not be interpreted as a promise that every related record, backup, log, provider copy, or local event-system copy will be erased at the same instant.
Deletion requests can require action across local event systems, cloud services, archives, and providers. We will process verified requests as required by applicable law and our agreement with the Event Host. Some records may be retained when reasonably necessary for security, legal compliance, dispute resolution, fraud prevention, or documented consent and suppression purposes.
To request removal of event media or associated guest information, contact the Event Host or email privacy@politeinpublic.com. Include enough information to locate the material, such as the event date, Event Host, and media link or identifier. Do not email additional sensitive information unless requested.
6. Your Choices and Rights
Depending on where a person lives and the role Polite has for a particular event, applicable law may provide rights to request access, correction, deletion, or a copy of personal information; object to or restrict certain processing; withdraw consent; or appeal a decision.
Submit a request to privacy@politeinpublic.com. We may need to verify the request and may direct it to the Event Host when that organization controls the relevant information. Authorized agents may submit requests where permitted by law. We will not unlawfully discriminate against a person for exercising an applicable privacy right. If a request is denied, the response will explain any available review or appeal process required by applicable law.
7. Security
We use administrative, technical, and physical safeguards appropriate to the nature of the Services and information involved. No storage or transmission method is completely secure, and we cannot guarantee absolute security.
8. Children and Family Events
The Services may be used at events attended by children. The Event Host is responsible for identifying an experience directed to children and arranging any required parent or guardian notice and permission. Contact us if you believe information from a child was collected without required authorization.
9. Processing Locations
Polite is based in the United States. Information may be processed in the United States and in other locations where the Event Host or our service providers operate, subject to applicable contractual and legal requirements.
10. Changes and Contact
We may update this policy as our Services and practices change. The updated date will identify the current published version. Material event-specific changes should also be reflected in the notice presented for that experience.
